Regular Full-Time; Exempt, 200+ workdays (according to the academic calendar) plus 7 paid holidays

Job purpose

The administrative coordinator is responsible for coordinating the operational and administrative activities of the front office and the school leadership team.  manage petty cash, provide basic tech support, provide HR support throughout the hiring and onboarding process, provide occasional classroom support, serve as a clinic aide, and coordinate field trips.  Other duties as assigned.

Duties and responsibilities

Student Database Management – Maintain student/parent information in Infinite Campus. Support Family Liaison with the entry of new students as needed. Work with department heads to ensure data integrity for SpEd, ELL and discipline information
State and Authorizer Submissions – Coordinate with Executive Director and department heads to ensure all state and authorizer submission deadlines are met.  Attend required training and ensure the integrity of data.
Communication – Review monthly and weekly parent communications; ensure proper translation and distribution of regular and emergency communications.  Translate school communications from English to Spanish and Spanish to English
Coordinate with school level contracted service providers
Collaborate with a contracted registered nurse to organize, monitor, and maintain the health program and records at MdM.
Collaborate with APS Nutrition Services to update student eligibility status each week, distribute lunch bills and implement a collection process for past due balances.
Manage On-call  and FT floating Substitutes – Receive texts from staff members who will be absent and contact on-call subs to arrange coverage for classrooms, office and midday duties
Coordinate Office Managed Events/Activities – Ensure the school website and calendar are up-to-date, schedule hearing and vision testing, staff ID photos and student photos
Human Resources Support – Coordinate hiring process for school admin, collection of new hire paperwork, review timesheets for accuracy, maintain confidential personnel files
Coordinate Field Trips and class excursions – Accept all requests, review with Executive Director, arrange transportation, payment and lunch orders.
Tech Support/Data and Assessments – Support school assessment leader (SAL) with tech issues for state testing, handle network issues related to printers, copiers, internet, and phones.
Petty Cash/Bank Deposits – Manage the petty cash drawer.  Prepare, document and make all deposits.  Ensure financial policies and procedures are followed in the front office.
Administrative Support/ED – Schedule appointments, maintain filing systems, screen mail for Executive Director
Other duties as assigned

 

Qualifications

Education
High school diploma or GED required.
Associates or Bachelor’s Degree preferred.

Skills
Bilingual (Spanish/English)
Strong interpersonal and written communication skills.
Tech Savvy must be experienced with Microsoft Office, Google Docs
Strong organizational, problem-solving and project management skills

Physical requirements

Sitting for prolonged periods
Occasional lifting and pushing
Occasional walking and standing for 30+ minutes at a time
Occasional outside work in inclement weather
